Tool Management System for Automotive Factory
Written by: Martin K.
A specialized tool shop serving an automotive OEM manages repair and maintenance for hundreds of injection moulds — work that had outgrown spreadsheets and paper logs. AMDIS built a tool management system that gives the shop full visibility and control over each mould's lifecycle, from request to completion.
The Challenge
Repair and maintenance for hundreds of moulds was tracked across spreadsheets and paper logs, in-house and with external suppliers. There was no single source of truth for a mould's condition or history, and no reliable way to track cost or productivity across technicians and tool shops.
The Solution
AMDIS built a tool management system that tracks each mould through its full repair and maintenance lifecycle. Every request — preventive maintenance, changeover, repair/replace, or other — is logged with tool and machine details, deadlines, and full documentation: inspection sheets, quality reports, drawings, work instructions, 4M change management, and process release. Technicians can add notes, attach files, and record spare parts used directly on the request.
Technicians log tool requests with deadlines, spare parts, and full documentation in one request view.
All requests are searchable and tracked centrally from creation to completion, with documents downloadable per request and status visible at a glance. The system connects directly to the production machines and to the company's ERP, syncing stock and usage data automatically and removing manual reconciliation.
Task and request boards give administrators and project managers a clear view of status across the board.
The Results
With usage, wear, and request data flowing in continuously, maintenance cycles became predictable instead of reactive. Planning improved, unplanned downtime dropped, and maintenance cost fell as a result. Cost and productivity are now tracked per technician and per tool shop, with hours and request volume visualized over time — visibility that didn't exist before. External supplier work is now scheduled and tracked within the same system, closing a gap that used to cause delays.
